Digital Account Executive
OVERVIEW
First step into the building block & start of your career: Assist client service in the day-to-day management of client accounts including meeting preparations, developing briefings and presentation decks, and coordinates all logistics. Should have a clear understanding of all internal production processes. Ability to multi-task and have strong communication skills. Able to effectively lead internal meetings and strong team relationships.
ROLES
- This is a position within Account Management with the primary responsibility of overseeing the effective administration of a piece of the business from all perspectives.
- The AE is a lynch-pin of the account handling team and is relied upon to conduct the administrative side of an account with the minimum fuss and maximum efficiency.
- The AE is responsible for prompt and accurate dissemination of information relevant departments within the agency
- AE is expected to show enthusiasm for the clients business at all times and should show a desire to produce outstanding creative ideas and projects
- The role of an AE is to ensure the routine running of the client account and day-to-day contact with the clients, ensuring that the agency staff and the clients are kept informed of any developments on the account at all times.
TASK AND RESPONSIBILITIES
Administration
- Preparation of all necessary reports, status reports and job bags after client contact
- Organizes regular internal status meetings and external client meetings
- Records all client meeting, distributes contact reports within 24 hours of the necessary meeting at hand
- Maintains a central filing system for all documentations
- Quality checks work before leaving the agency (final approval)
- Assists Account Manager in anticipating problems before they arise
- Develops a healthy working relationship with client and within the agency as a whole
- Preps and develops studio briefs
- Assists Account Director in preparation of client meetings and larger internal briefs
Client
- Informed client on all aspects of their projects
- Ensures client receives regular competitive information
- Shows enthusiasm for the clients business
- Answers all clients queries promptly
- Establish a good relationship with client
Creative
- Demonstrates and drives commitment to produce outstanding work
- Has well informed ideas on what makes great advertising
- Provides creative teams with the necessary products to assist in generating quality work
- Gains approval on all work and necessary print jobs
- Checks quality of print work
Finance
- Ensures that cost estimates are prepared correctly prior to going to the Account Director for approval
- Saves all the necessary quotes and important documentation are saved as an external document/s
- Ensures all approved CE’s are billed and briefed through chase
- Ensures that all CE’s have PO’s
- Assist in chasing client for invoice payments once communicated by finance
Traffic
- Working with the necessary traffic manager to ensure that all work in progresses will meet the set of deadlines
- Updates the necessary traffic manager of any required changes or updated requests
- Reviews job statuses with traffic manager weekly
- Regularly closes any necessary jobs where applicable
- Submits timing plans based on traffic recommendations to client
Planning
- Contributes to writing insightful and single minded briefs
- Can read and interpret quantitative sales/distributed information
- Has the ability to liaise with media department in preparing media plans for the client
- Understands basic media terminology
- Keeps media informed wrt development of creative work and clients budget
- Responsible for executing and implementing of approved campaigns
- Delegates effectively to members of the team/department
REQUIREMENTS
- South African citizen
- Own reliable transport
- Tertiary Qualification or equivalent industry experience
PERSONAL SKILLS/ATTRIBUTES
- A hands-on and professional approach with both clients and team members
- Highly attentive to detail – you are a “well-organised” individual
- Must be able to perform under pressure and deliver on fixed timelines
- Outstanding admin skills
- Marketing and general digital knowledge
- Team worker – good interpersonal skills
- Good communicating – verbal and written skills
KPI AND MEASUREABLE DELIVERABLES
- Preparation of all meetings and reports i.e. agenda’s, meeting set ups and contact reports etc. contact reports sent to client after each meeting within 24 hours
- Creating and circulating the internal job bag for each project (to traffic)
- Ensures all approved CE’s are billed and briefed through chase with the PO attached
- Status reports are completed and sent every Monday by COB
- Internal Status document completed and printed prior to status i.e. by Friday 4pm
- Closure requires to occur by Thursday 4pm so that finance can action the requests prior to pulling status
